## The short answer

Good receipt matching software makes it easy for people to submit receipts, pairs them with card and bank transactions automatically, shows you only the exceptions, and sends coded expenses to your accounting system. Check it works with the cards you already hold, then test it on your own receipts before you commit.

## The checklist

| What to check | Why it matters | What to ask or test |
|---|---|---|
| **How receipts get in** | If submitting a receipt is a chore, people won’t. | Can people email, text or upload one in a few seconds, from a phone, without logging in to a heavy app? |
| **Matching quality** | This is the whole point. A tool that matches half your receipts still leaves you the other half. | Send a mix of your real receipts, including awkward ones, and count how many it matches without help. |
| **How exceptions are handled** | You will always have some unmatched items. | Is there a clear list of what is unmatched, why, and who owns it? Can you fix a match quickly? |
| **Card and bank coverage** | If your cards aren’t supported, you are back to spreadsheets. | Does it work with the business cards and bank accounts you hold now, or only with its own cards? |
| **Accounting integration** | The goal is clean books, not another system to reconcile. | Does it sync with your software (QuickBooks Online, Xero, Sage Intacct or another)? Which fields and plan tiers does that include? |
| **Expense coding** | Matching without coding leaves the manual work to your bookkeeper. | Does it suggest vendors and accounts from your chart of accounts, and can your bookkeeper correct them? |
| **Pricing model** | Per-user pricing can penalise occasional spenders. | What counts as a user? Is there a minimum? What is included at each tier? |
| **Support and set-up** | You will have questions in the first month. | Who answers, how fast, and can they help you connect your accounts? |

## Questions to put to any vendor

1. Can I run it on my own receipts and transactions during the trial, not a demo dataset?
2. What does a missing receipt look like in the product, and how does the cardholder get reminded?
3. What happens to transactions from a card you don’t support?
4. Which accounting fields are synced, and can I undo a sync?
5. What is the price for my headcount, all in?

## Spend platforms and standalone matching

Some products combine corporate cards with expense software. They can match receipts closely on their own cards, because they control the transaction data. The trade-off is that you adopt their card programme. If you would rather keep the cards and bank accounts you have, look for a tool that is built to work with them, and ask the vendor which feeds or imports it supports.

## How Barespend answers the checklist

- **Receipts in:** your team emails, texts or uploads them.
- **Matching:** each receipt is paired with its card or bank transaction, and unmatched items are flagged for review.
- **Cards:** it works with any business card or bank account.
- **Books:** it syncs with QuickBooks Online, Xero and Sage Intacct, and codes expenses to your chart of accounts.
- **Pricing:** plans start at $5 per active member a month on an annual plan, with no user minimums. See [pricing](/pricing/).
- **Trial:** free for 7 days with no credit card required, so you can test it on your own receipts.

To see how it compares with specific products, read the [Barespend comparisons](/compare/). To see matching in practice, the [guide to matching receipts by hand](/guides/match-receipts-to-credit-card-transactions/) shows the process the software replaces.

## Common questions

### What is receipt matching software?

Software that pairs each receipt with the card or bank transaction it belongs to, so every charge has support. Most tools also code the expense for your accounting system.

### Do I need to switch cards to use it?

Not necessarily. Some spend platforms match receipts well only on cards they issue. Others work with the cards and bank accounts you already have. If you want to keep your current cards, confirm that before you start a trial.

### How long should a trial be?

Long enough to cover a few real purchases and at least one sync to your accounting system. A week is enough to see matching work on real receipts, if you use your own data.

### Is receipt matching the same as expense management?

It is one part of it. Expense management also covers coding expenses, policies, reimbursements and syncing to the books. Whether you need more than matching depends on how your team spends.
