Barespend's Privacy Policy

Barespend is not in the business of making money off your data. Everything we collect is used exclusively to help us provide you with the best service possible.

Identity & Access

When you sign up for Barespend, we ask for your name, company name, and email address. If you text us receipts or confirm a free trial by text message, we also collect your mobile phone number and the messages and images you send. That’s just so you can personalize your new account, and we can send you invoices, updates, or other essential information. We’ll never sell or rent your personal info to third parties, and we won’t use your name or company in marketing statements without your permission, either.

When you pay for Barespend, we invoice you and you pay by bank transfer (ACH or wire). We keep records of your invoices and payments.

When you contact Barespend with a question or to ask for help, we’ll keep that correspondence, and the email address, for future reference. We also store any information you volunteer, like surveys, for as long as it makes sense.

Receipts & financial data

To do its job, Barespend processes the receipts and invoices you email, text or upload, the card and bank transactions you connect or import, and the data from accounting systems you connect, such as QuickBooks Online, Xero or Sage Intacct. We use this data only to provide the service to you: to read receipts, match them to transactions, code expenses and send them to your books.

Receipt images and documents are read automatically by Microsoft Azure AI Document Intelligence to extract details like the merchant, date and amount. Card and bank connections are made through Plaid, and you choose which accounts to connect.

Website & product analytics

When you browse barespend.com, we use Google Analytics and Microsoft Clarity to understand how the site is used, such as which pages are visited, how people find us, and what to improve (like conversion rates and new designs). These tools collect information like the pages you view, your approximate location based on your IP address, your device and browser type, and how you click and scroll. Clarity also makes anonymized recordings and heatmaps of visits. These tools use cookies or similar technologies. Clarity masks what you type into form fields, and we mask the content of our free tools from recordings. Anything you enter into a free tool stays in your browser and is not sent to us.

To learn more or opt out, see Google’s opt-out browser add-on and Microsoft’s privacy statement, which covers Clarity. Your browser settings can also block or delete cookies.

In our web app at app.barespend.com, we use Microsoft Clarity session recordings to understand how the product is used and to help us fix problems. For signed-in users, we label recordings with the user’s name and email address, so our team can find and help the right person. Content you type into input fields is masked.

The only times we’ll ever share your info:

• To provide products or services you’ve requested, with your permission.
• To investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of our Terms of Service or as otherwise required by law.
• If Barespend is acquired by or merged with another company — we don’t plan on that, but if it happens — we’ll notify you well before any info about you is transferred and becomes subject to a different privacy policy.

Your Rights With Respect to Your Information

You may have heard about the General Data Protection Regulation (“GDPR”) in Europe. GDPR gives people under its protection certain rights with respect to their personal information collected by us on the Site. Accordingly, Barespend recognizes and will comply with GDPR and those rights, except as limited by applicable law. The rights under GDPR include:

• Right to Restrict Processing.
• Right to Object.
• Right to Portability.
• Right to not be subject to Automated Decision-Making.

Processors we use

As part of the services we provide, and only to the extent necessary, we may use certain third party processors to process some or all of your personal information.

• Microsoft Azure: hosting, database, file storage and automated receipt reading (Azure AI Document Intelligence).
• Plaid: connecting your card and bank accounts, at your direction.
• Twilio: text messages, including receipts you text us and trial confirmations.
• Mailgun: email, including receipts you email to us and messages we send you.
• Google Analytics and Microsoft Clarity: website and product analytics, as described above.
• Slack: internal notifications to our team, such as when someone starts a free trial.
• QuickBooks (Intuit), Xero and Sage Intacct: your accounting data, when you connect them.

If you book a demo, you will use a scheduling service (such as Calendly), which has its own privacy policy.

Law enforcement

Barespend won’t hand your data over to law enforcement unless a court order says we have to. We flat-out reject requests from local and federal law enforcement when they seek data without a court order. And unless we’re legally prevented from it, we’ll always inform you when such requests are made.

Security & Encryption

All data is encrypted via SSL/TLS when transmitted between your browser and our servers. Data stored in our Azure database and Azure file storage is encrypted at rest by Azure. For more information about how we keep your information secure, visit our security page.

Data Retention

Server and application logs are retained for 30 days, after which they are permanently deleted. Application analytics will be permanently deleted on request. You can ask us to delete your personal information at any time.

Location of Site and Data

This Site is operated in the United States. If you are located in the European Union or elsewhere outside of the United States, please be aware that any information you provide to us will be transferred to the United States. By using our Site, participating in any of our services and/or providing us with your information, you consent to this transfer.

Changes & questions

Barespend may update this policy. We’ll notify you about significant changes by emailing the account owner. You can access, change or delete your personal information at any time by contacting our support team.
